How Qui Recruitment collects and uses personal information, and what you can ask us to do with it.

Who we are

Qui Recruitment is a recruitment-to-recruitment agency, placing recruiters and leaders into recruitment businesses, and providing talent consultancy. We are the data controller for the information described here.

What we collect

If you are looking for a role. Your name and contact details, your CV, work history, billings and performance information, salary and package expectations, notice period, the types of role and business you are interested in, notes from our conversations, and feedback from any interview process we introduce you to.

If you are hiring. Your name, role, contact details, the details of the roles you are recruiting for, and our correspondence.

If you use the website. Anything you type into a form on this site, and analytics information about your visit. That is covered in our cookie policy.

We do not ask for special category data. If you volunteer something in that bracket, for example an adjustment you need for an interview, we only pass it on with your agreement.

Where we get it

Mostly directly from you. We also use professional networks and public profiles such as LinkedIn, job boards you have posted a profile to, and referrals from people who know you. If we approach you off the back of a public profile, we will tell you where we found you.

Why we use it, and our lawful basis

  • To match you to roles, or find you candidates. Legitimate interests. This is the ordinary business of a recruitment agency and is what you would expect of us.
  • To deliver a service you have engaged us for. Performance of a contract.
  • To send you marketing, including the newsletter. Consent, which you can withdraw at any time using the link in the email or by replying to us.
  • To meet our legal and regulatory obligations. Legal obligation.

Who we share it with

We share candidate details with a hiring business only once you have agreed to that specific introduction. You will always know which business is being discussed before anyone is approached.

We also use suppliers who process information on our behalf: our CRM and applicant tracking system, email and calendar provider, website hosting, form handling, and analytics. They act on our instructions and cannot use your information for their own purposes.

The systems we use are Atlas, our recruitment platform, which holds candidate and client records; Netlify, which hosts this website and handles anything submitted through its forms; and Google Analytics, which reports on how the site is used.

We never sell personal information.

How long we keep it

We keep candidate information for twelve months from our last meaningful contact with you, then delete it. If you ask us to delete you sooner, we will, other than anything we are required to keep for legal or accounting reasons.

Where it goes

Some of our suppliers are based outside the UK. Where information is transferred, we rely on the safeguards required by UK data protection law, such as the International Data Transfer Agreement or an adequacy decision.

Your rights

You can ask us to give you a copy of what we hold, correct it, delete it, restrict what we do with it, or send it to someone else. You can object to us using it on the basis of legitimate interests, and you can withdraw consent to marketing at any time. Ask us at lysha@quirecruitment.co.uk and we will respond within one month.

If you are not happy with how we handle it, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

Keeping it safe

Access is limited to the people who need it, our systems are password protected with multi-factor authentication where it is offered, and we review who has access as people join and leave.

Changes

If we change this policy we will update the date at the top of the page.
